Booking Instructions and Forms

Bookings must be made directly with our freight forwarder Delmar. Once a Purchase Order has been issued, a Freight Notification Form must be completed and e-mailed or faxed to Delmar International as advance notice for pick-up and drop-off at shipping point.

Ocean/Air Shipment: 

To book a shipment, send completed FNF (Freight Notification Form) to [e-mail]   14 - 20 Calander days prior to cargo handover date. They will then review the FNF and arrange accordingly.

One FNF should be filled out per PO. The FNF should state if you are shipping the order in full as well as provide packing lists for each PO confirming the exact number of units being shipped.

Example if the CHO date is November 15th, then the booking must be sent to Delmar no later than November 1st.

FNF should be filled out in full:

• Vendor's name and contact info

• Shipper's (factory's) name and contact info - if different from the vendor 

• Final Indigo location - appropriate DC

• Indigo PO #

• Final destination (Toronto/Richmond)

• Cargo ready date 

• PO due date into Indigo's DC (deadline)

• Total weight 

• Total volume in cubic meters 

• Total number of pallets/cartons

• Whether the shipment is palletized 

• Freight Terms (FOB/EXW)

• Mode of transport (ocean/air)

• Name of origin form (ex.: Yantian/Ningbo/Liverpool)

• LCL (less than container load) or FCL (full container load)

• Commodity description

Ground (Truck) Shipment:

A completed Ground FNF must be submitted to [e-mail] at least 3 business days before the CHO date. 

• • FNF form is based on the location of shipment (form for each DC is attached to this article)

  • Example if the CHO date is March 11, 2022 (Friday) the last day for on-time booking is March 8, 2022 (Tuesday)

  • If the CHO date is March 14, 2022 (Monday) than the last day for on-time booking is March 9, 2022 (Wednesday)

Please note: if your ground shipment is 6 skids or more in size, please complete the GCT Ground FNF and submit it to [e-mail] instead, at least 3 business days before the CHO Date.
